Description

Job Purpose:
To provide effective day-to-day administrative support for the CTI EMEA Senior Management Team Ensuring adequate Administrative support and providing regular management reporting on behalf of the team.

Job Background/context:
This position provides support to the EMEA TI Senior Management Team and to the wider CTI EMEA functions operating in over 50 countries.

Key Responsibilities: Administrative support to the CTI Business Office and Senior Management Team covering:
• Providing support for TI Headcount/resource management activities (including approval and tracking processes, and maintenance of time booking HR system, etc),
• Supporting data collation, tracking and response for Regional and Global Business Office set tasks
• Supporting initiatives for process improvement
• General day-to-day administrative duties
• Arrange, travel accommodation and training
• Arranging meeting, conference calls, agenda preparations and minute taking.
• Processing departmental invoices and expenses
• Co-ordinate and maintain core group records and files, including organisation charts and contact details.
• Enhancing and developing administrative tools/processes to increase efficiencies.
• Work on the collation, analysis and generation of detailed management information reporting
• Contribute to key business processes for headcount & resource management
• Manage regular or ad hoc requests in terms of liaison with stakeholders, tracking and reporting progress
Help ensure information relating to the Business Office and the wider organization is kept current, applicable and available through efficient use of Intranet and SharePoint sites

Knowledge/Experience:
• In depth knowledge about CTI EMEA activities would be beneficial for this position
• Proven experience in a process driven environment
• Ability to manage concurrent activities with short term deadlines and changing priorities
• Good understanding and knowledge of supporting a complex technology service environment from a business office perspective
• Experienced Administrative Assistant who has worked in a busy office environment delivering against demanding schedules, often in the face of changing priorities
• Ability to plan, organise, monitor activities for the Senior Management team and monitor priorities across the group,
• Strong communication skills
• Planning, multi-tasking and prioritisation skills
• Team-oriented with a collegial approach to addressing challenges
• High level of proficiency with all MS Office products, including Excel, PowerPoint and WordIT Literate, with excellent knowledge of all MS Packages, including Outlook, Excel, Power-Point, Word, Access,
• Initiative – self-starter. With the ability to work without supervision in a busy and high-pressure environment..
• Strong English written and verbal communication skills are essential
